Sr. Administrative Assistant - Legal


Job Summary:

The purpose of this position is to provide advanced-level administrative support to executives (VP/SVP/EVP) and the board of directors of AGL Resources and subsidiaries

Functional Expertise:

  • Plans and coordinates logistics for meetings, trainings and special events (e.g., conference rooms, refreshments, audio-visual equipment, participant invitations).

  • Coordinates travel arrangements for Associate General Counsel (e.g., air, hotel, ground transportation, restaurants).

  • Frequently communicates with and resolves issues for members of Associate General Counsel’s team on a variety of matters.

  • Coordinates office administrative functions including the preparation and processing of employee information (e.g., enters time in PeopleSoft), budget tracking and variance analysis; maintaining and filing legal documents in LegalTracker; maintains office supplies; process invoices for payment.

  • Provides administrative support for preparing quarterly and other periodic reports and presentations using MS Word, Excel and PowerPoint

  • Responsibility for special projects or assignments unique to Associate General Counsel’s team

  • Coordinates purchasing card activities; reviews and reconciles purchasing card expenses; enters into PeopleSoft Financials for payment processing.

  • Maintains and administers various TEAMS and SharePoint pages

  • Administers the assignment of cell phones, laptops and other hardware (as applicable); update team contact list.

Business Acumen:

  • Provides administrative support to associate general counsel and direct reports; prepares, reviews, and updates correspondence including letters, memorandums, reports, and presentations; answers and screens in-coming phone calls; reviews and screens email; updates organizational charts.

  • Schedules and maintains calendar; schedules internal and external meetings; coordinates rescheduling to meet business demands and time constraints; ensures Manager fulfills business and personal meeting obligations.

  • Develops standard and ad-hoc reports; analyzes and summarizes data for management use.

  • Serves as administrative resource for internal employees; provides information on location of Company and team policies, processes and procedures

  • Processes confidential information; maintains confidentiality.


  • Serves as liaison for addressing internal team and client inquiries; research, resolves, and responds to inquiries with minimal guidance.

  • Serve as team liaison and resource for document collaboration technology

Education, Certifications/Licenses:


  • High school diploma or GED


  • Associates degree in Business or Office Administration

  • Notary Public

Related Work Experience:


  • 3-5 years experience supporting a senior manager and team


  • 3-5 legal administrative assistant experience

Applicant may possess a combination of equivalent education and work experience.
